Terms & Conditions

1. Definitions 

  • Client: The individual or entity requesting translation services as specified in the quotation 

  • Company: The organization on whose behalf the Client is acting, as specified in the quotation 

  • DTP: Desktop Publishing - the process of formatting and laying out translated content 

  • Error: A mistake that changes or distorts the meaning of the source text, such as a mistranslation, omission, or grammatical issue that may confuse or mislead the reader. These are considered objective and subject to correction 

  • Project: The translation work as described in the quotation 

  • Source Content: The original materials to be translated 


2. Contract Authority and Applicability 

If a contract has been signed, the terms and conditions as per the contract apply. If no contract has been signed, the following terms and conditions apply upon approval. 

The Client Name (as specified in this quotation) is acting on behalf of the Company (as specified in this quotation) and confirms to having the authority to enter into this agreement. 


3. Payment Terms 

New Clients 

For new clients, the project will be started once a credit check has been completed or an initial payment of 50% of the project cost has been received. The remaining 50% is due 10 days after the initial draft of the project has been delivered. 

Late Payment Charges 

Should a payment be late, Compass Languages reserves the right to apply a monthly charge of 1.5% until the account is settled. 


4. Project Review and Revisions 

A client has the opportunity to review and suggest changes within 10 days of project delivery. 

The client accepts that if any of the assumptions of the project change as described in this quote, costs and delivery dates may be affected. 


5. Quality Standards and Error Correction 

Compass Languages is committed to delivering high-quality translations. If a quality issue is identified, Compass Languages will review and, if necessary, correct the content. 

Definition of Errors 

An error is defined as per the Definitions section above. 

Style-Related Changes 

Style-related changes, such as wording preferences, tone adjustments, or alternate phrasing, are not considered errors. While stylistic input is valued, it does not constitute grounds for free revision unless previously agreed upon in the project scope. 

Payment and Quality Concerns 

Once corrections have been implemented in line with the above criteria, quality concerns may not be used as a reason to delay or withhold payment. 


6. Project Modifications 

If the client requests changes to glossaries, tools, workflows, assigned resources, or other preferences after the project has started, additional charges may apply to reflect the extra time and effort required to adjust the process. 


7. Liability and Responsibility 

The client remains responsible for the final use of the translated material and for any direct or indirect costs that may result from undetected or detected errors in a translation. Compass Languages assumes no liability for any direct or indirect impact resulting from errors, whether identified or not. 


8. Turnaround Times 

The stated time begins once all clarifications about the project and receipt of the final source content have been gathered from the client. Also, any projects received after 12pm EST will start the following business day. 


9. Minimum Charges and Project Scope 

For low-volume tasks, segmented deliveries, or small-scale requests, Compass Languages reserves the right to apply a minimum fee per language to cover project handling and processing costs. Minimum charges also apply for jobs involving DTP or requiring additional coordination. 


10. Rush Job Surcharges 

Projects requiring delivery in less than the standard turnaround time may be subject to rush charges. Standard rush charges range from 25-50% of the base project cost for moderate urgency, and 50-100% for extreme urgency, depending on the resource availability required to meet the requested deadline. 


11. Data Protection and Privacy Compliance 

Compass Languages is committed to protecting client data and complies with applicable data protection regulations including GDPR. All client materials and information will be handled confidentially and securely throughout the project lifecycle. 


12. Cancellation Policy 

If a client cancels a project after work has commenced, they remain liable for all work completed up to the point of cancellation, plus any costs incurred for project setup and resource allocation.
